RefWorks is a "web-based bibliographic management service that allows you to create your own personal database of references. You can automatically import references from a search performed in an online database or enter references manually. Searching tools within RefWorks enable you to easily navigate your database, organize folders and search for references. Refworks also allows you to format your references for papers and bibliographies in a variety of output styles, including APA, MLA, Turabian, and Chicago."

The vendor has extended permission to both Alumni and retired faculty Library patrons to access RefWorks [details], a bibliographic management tool. Graduating students and retiring faculty can continue to access their RefWorks accounts and all alumni and retired faculty Library patrons can setup new accounts. [Note that all faculty emeriti have always had permission to access Refworks since it was first licensed by the Library]. RefWorks 2.0 will launch in Q1 of the new year

RefWorks/COS has announced that it will be launching RefWorks and RefShare 2.0 early in the New Year. We still do not have a firm date for the launch. Note from the vendor "The release of RefWorks 2.0 is scheduled to take place during Q1 of 2010, and will focus on the usability aspect of the service, specifically providing a clean, powerful, more intuitive experience for our users. The new Web 2.0 interface will use sophisticated and contemporary design elements to highlight many of the current, valuable features in RefWorks. Some of the features that are not widely known to our users include the ability to collaborate, to manage all types of information particularly the ability to upload (and the search of) full-text attachments, and access to a user's database from any mobile device. In addition, we have a number of feature enhancements scheduled to quickly follow the RefWorks 2.0, new user interface launch in 2010." Information page.

Issues with capitalization - APA style in RefWorks

If patrons are using RefWorks [details] to create a bibliography in APA style, they may notice a common formatting problem. In RefWorks' default APA style, RefWorks formats the title of the article in a citation so that the first letter of the title is capitalized and all the other letters are lower case. This becomes a problem when there are proper nouns in the title that need to stay capitalized.

To solve this problem, you should choose the style "APA 6th ed. - No Title Casing Applied, American Psychological Association" which is down in the extended list of styles. With this format, the title will appear in the citation with the letter cases exactly as they appears in the RefWorks account. So, the patron should make sure that the title appears in the RefWorks record as he or she wants it to appear in the bibliography.

New APA 6th Edition Output Styles Added to RefWorks

RefWorks has recently added APA, 6th edition, to its list of output styles for bibliography creation.

  • You can add a new style to your output style favorites list by clicking on Tools in the navigation bar at the top of the screen and selecting Output Style Manager from the drop-down menu. Choose an APA, 6th edition, style from the Output Style box and click on Add to Favorites button just below the box.

RefWorks is still working on a few details in the APA output style as described in their message below, dated July, 2009. Note that existing styles are automatically updated when changes are made:

“APA 6th style is not a major change from APA 5th output style. The new version does not use the database name with the exception of ERIC documents (reports). We have removed the database field from all reference types with the exception of reports.

The new edition of APA has changed the manner in which authors are to be listed in the text and in the reference list. The new reference list guidelines state that when there are seven or more authors there should only be seven authors presented. When there are more than seven authors the first six are to be listed, ellipses added after the sixth, and the last author added at the end. In order for RefWorks to adhere to these changes, we will need to make modifications to our current Output Style Editor which will require program development. In the short-term, our new APA style will list all authors and will require the user to manually remove the extra authors and add the ellipses.

The new guidelines allow for the inclusion of up to five authors in the first instance of an in-text citation and the use of the first author with ‘et al.’ in all subsequent citations of the same reference. This too, will require APA specific development in RefWorks.”

If a COS profile is available for an author in a citation downloaded to RefWorks, a blue icon appears beside the author name in the full record view. Click on the icon to access the profile. RefWorks Upgrade Scheduled for Monday, August 25

Scholars Portal is planning to release the bibliographic manaagement tool, RefWorks August 2008 feature upgrade on Monday August 25. Note that the Library has a license (shared funding with the University Administration) for COS Scholar Universe, the resource referred to in the features information page, so links to details about scholars should be enabled.

How to download CISTI Source records to REFWORKS

How to download CISTI Source records to RefWorks bibliographic management service:
  • Conduct your search and select records to download
  • Click Selection, then e-mail records to yourself
  • Save emailed records as text file (.txt)
  • Access your RefWorks account and click References, then select Import
  • Access Import Filter/Data Source and select the appropriate data source
  • Click on the Database drop-down menu and select the source database
  • Click on the Import References Into menu and designate the specific folder where you want to file the imported references. If you do not choose a folder, the references will automatically go into the default Last Imported Folder
  • Enter your results text file name into Import Data from the following Text File by browsing and selecting or manually typing in your text file name
  • Click on Import at the bottom of the screen. When the import is complete, select View Last Imported Folder to review and modify the imported references.

Attachment feature added to RefWorks

The Attachments feature has been enabled in RefWorks for University of Saskatchewan users. This feature allowes users "to attach non-bibliographic information to their references, much like attaching files to an email message." This permits users to organize and store images and documents within their personal database. "A variety of information could be "attached" to a RefWorks record including images, compounds, formulas, and spreadsheets to name a few. " The University has unlimited storage space for this feature, however individual accounts are limited to 100MB.

Although RefWorks will provide unlimited storage space at the organization level, please note that it has set some limitations at the user account level. They are as follows:

  • Automatic activation for all existing accounts.
  • Default storage space setting is 100MB, per account.
  • Additional space can be allocated on an account-by-account basis up to a maximum of 200MB per account. Must be done by local administrator(s) within the Administrator Tool. Please contact your Liaison Librarian to request an upgrade to 200MB
  • No limitation on the number of attachments allowed per account or per record.
  • A maximum of 5MB limit per attachment is set.

Instructions for importing ITER citations into RefWorks

ITER does not have an export to RefWorks functionality embedded in its interface at this time. However, there is a work-round (Walter E. Zimmerman, Electronic Services Librarian at the University of Western Ontario alerted us to this work round), that requires some re-editing of imported journal article and series citations in RefWorks:

To export citations from ITER to RefWorks:

  • Conduct your search in ITER and mark selected records for export to RefWorks
    • Click on Kept on the purple navigation bar at the top of the screen
    • Click on View on the purple navigation bar at the bottom
    • Select the text and copy using CTRL-C
  • In RefWorks, click on References tab, and select Import from the drop-down menu.
    • In the Import screen:
      • Select SIRSI Library Software as the Import Filter
      • Select ITER / Gateway to the Middle Ages as the Database
      • Paste the copied citation text from your clipboard into the Import Data from the following Text box.
      • Click on Import to import the citations into RefWorks.
    • Review the imported citations in your Last Imported Folder. Edit the imported journal article and series citations since journal and series titles drop incorrectly into the Title, Secondary field and page numbers may be in the Notes field.
Note that ITER and RefWorks continue to work on improvements to the import functionality and the work-round described above may not be necessary in the future.

Beta version of RefWorks Write-N-Cite utility available for Windows

RefWorks Write-N-Cite III for Windows (Beta Version) is now available to all Windows users, including for WORD 2007. In RefWorks navigation bar, select the Tools tab drop-down menu. Download the III Beta version. This beta version includes:
  • MS Vista and Word 2007 compatability
  • Also compatible with XP and Word 2003
  • Single document formatting
  • Faster formatting for large documents
  • Current WNC for Windows users can use WNC III on old documents, however, the documents must be converted to a WNC III format which can be done within the WNC III beta version.

Latest RefWorks Release will be Loaded about 3 pm EST, Friday, Feb. 8, 2008

OCLC RefWorks (Canadian server) will install the latest RefWorks release tomorrow at about 3pm EST. This upgrade includes all the features described in the January 2008 Release Notes (http://www.refworks.com/content/products/0801release.asp ) except for Write-N-Cite III beta (which will be loaded later, probably early next week). There shouldn't be any downtime.

Importing WORD/EXCEL/ACCESS Documents into RefWorks

Note that the process does work...if you are willing to invest the time ...if you forget any of the tags (for example reference type) it does strange things. Another option for importing citations from a bibliography in WORD is to actually re-create your search within RefWorks compatible bibliographic databases, and import the citations with added value, like ABSTRACTS, into RefWorks.

Current Version of RefWorks Write-N-Cite is not Compatible with Windows Vista and Office 2007 (*.docx) File Formats

The current version of RefWorks Write-N-Cite add-on is not compatible with Windows Vista. Write-N-Cite is compatible with Office 2007, as long as you select the Word 97-2003 format (*.doc) instead of the Word 2007 (*.docx) format in which to save your document. This is known as "compatibility mode" in Word 2007. If you save your document in the Word 97-2003 format first, then you should not get an error message when you go to cite a document.

The next version of Write-N-Cite will be compatible with Windows Vista and the Office 2007 *.docx file format. The next version will be released some time this fall.

You may still use RefWorks when writing papers in a Vista environment, by following workarounds discussed in the following sites:

The migration of University of Saskatchewan RefWorks to servers at the OCUL Scholars Portal has been successful. The welcome page on our RefWorks link gives some added information about the migration and instructions.

IMPORTANT: UofS RefWorks and RefShare will migrate to Canadian servers tomorrow at 12:00, Tuesday, June 5, 2007

The migration of the Universtiy of Saskatchewan RefWorks and RefShare files to a Canadian server (previously announced in an ER blog post) will begin at 12:00 noon (2:00 pm ETD) tomorrow, Tuesday, June 5. It is expected to take at least 3 hours.
  • We will post a message on this blog, when access is re-established.
  • After the migration, various URLs will be changed:
    • The Library "mask" URL for RefWorks will remain unchanged as: https://library.usask.ca/resource/REFWORKS. This is the URL used in the links to RefWorks in the catalogue and databases list and is recommended as the default "Favorites" link. This URL passes you through appropriate access authentication.
    • The underlying base URL for RefWorks will change from http://refworks.com to http://refworks.scholarsportal.info. You may need to know this on occasion.
    • You will have to re-load both Write-N-Cite and RefGrabit:
    • There will be a change to the RefShare file locations, including the base server URL change. We will post the changed base URL in a message on this blog.
  • While it is important for you to regularly back-up (backup functionality is included in RefWorks) files of your accounts, you may wish to make a special back-up prior to this migration. CAUTION: Do not use your backups unless there is a system failure (highly unlikely) or other unusual circumstance since the act of recovery will overwrite any work done between the backup and the recovery.

ATTENTION all RefWorks Users -- RefWorks and RefShare Will Migrate to Servers Located in Canada on June 5, 2007

The Library will migrate the web-based citatation manager RefWorks along with RefShare, its companion bibliography sharing module, and all your content, to servers located in Canada on June 5, 2007. This was prompted by concerns about privacy and the application of the USA Patriot Act to content created by University of Saskatchewan users on RefWorks servers located in the United States. After the migration is completed, University of Saskatchewan users will access Refworks and RefShare on servers located at the University of Toronto, via Scholars Portal, a portal service of the Ontario Council of University Libraries (OCUL).

There are several important benefits from the migration:

  • Content Privacy -- By migrating to a Canadian site, your content will not be subject to the USA Patriot Act and the scrutiny of US authorities.
  • Large Digital Archive Expertise is Developed Nationally -- Scholars Portal is developing important expertise and infrastructure for the maintenance of large digital archives in Canada.
  • High Security for Your Content --To ensure that your content is secure, Scholars Portal has implemented a fully redundant server cluster. The way the cluster is setup, if anything goes wrong with the first server, the second server will automatically take over and users (even users who are in the middle of a session) will not notice anything. The result is a very secure system. and fewer if any interruptions resulting from server problems or system maintenance and upgrades.
  • Made-in-Canada Training Opportunities -- OCUL has a very active training program, offering online WebEx sessions throughout the year that anyone can register for and attend.
  • A Canada Based Discussion List -- You can join the ocul-refworks Canadian Refworks Support List. This list is of special interest to power users, but anyone can join.
  • RefWorks is Still RefWorks -- Scholars Portal works closely with RefWorks for systems upgrades and problem solving. You are still getting the full RefWorks functionality of the US based RefWorks.

  • Access Interruptions -- RefWorks will be unavailable for several hours on Tuesday, June 5. We will keep you posted on expected access interruptions.
  • Anticipated Problems -- Few if any "bugs" are expected with this implementation. However, we will be on alert for problems for a few days after the migration. Phone the Library ITS Help Desk (966-5937) if you encounter problems.
  • The Base RefWorks URL Will Change -- The base URL will change to point to the Scholars Portal server.   • RefShare Users -- The URL for your RefShare folders will change. Log into your account after the migration to find out the new URLs for your shared folders. Ensure that others sharing a folder with you know what the new URL is.
  • Write-N-Cite & RefGrabit -- After the migration you will need to resetup Write-N-Cite and RefGrabit on your desktop.
  • Backup Your Content Routinely and BEFORE Tuesday, June 5 ! -- It is always advisable to routinely back up your content using RefWorks functionality or by exporting to another preferred bibliographic manager. This ensures your content is secure. As a precaution, we recommend that you backup your content BEFORE Tuesday, June 5, in case something goes wrong in the migration.
  • Backing Up Your Content Using RefWorks -- Use RefWorks Backup/Restore feature located unter Tools on the RefWorks navigation bar at the top of the screen. The Backup/Restore command saves records from all your RefWorks folders, as well as any Output Styles you may have customized.

How to use the RefWorks utility Write N Cite from home to create bibliographies in WORD

Write N Cite is a RefWorks utility that can be embedded in WORD and used to create a bibliography in your essay or document using RefWorks. Here are basic instructions to set-up access to Write N Cite on your home computer:
  • Download Write N Cite to your computer:
  • Run the WNC Proxy Configuration Utilityfrom the Refworks folder, on your computer's Start menu, under Programs

How to Import Records from the Library Catalogue to RefWorks

To import catalogue record/s from the University of Saskatchewan Library Catalogue to RefWorks:

I. One record at a time:

  • In the Catalogue, from the selected record in brief or full display, click on Add to RefWorks from the navigation bar across the top of the page.
  • Login to RefWorks. (Subsequent "adds" during your session will not require another login.)
  • The record will be automatically imported into your RefWorks account.

II. Multiple records:

  • Select records you wish to download from a catalogue search results list
  • Click on Save Marked Records
  • Click on View Saved from the navigation bar along the top of the page
  • From the presented form, select EITHER Full Display or Brief Display. (The vendor has not created a "RefWorks" option yet.)
  • Download your saved citations to a text file, by selecting Local Disk
  • From within RefWorks, select Import from the drop-down menu under References
  • Select The University of Saskatchewan Library Catalogue (Innovative) from the "Database" drop-down menu
  • Import your text file, by using the browse option under Import Data from the following Text File and inserting the file name in the box.
  • OR, you can simply cut and paste your records from a plain text source (from an email for example) into the text space under Import Data from the following Text. Be sure to select this option first, if you are going this route.

Ovid Databases are Enabled to Export Results to RefWorks as well as EndNote, ProCite and Reference Manager

All databases using the Ovid platform/interface are now enabled to export selected results into the bibliographic management tools: RefWorks or EndNote, ProCite and Reference Manager.
  • Select citations you would like to export by checkining the adjacent box in your search results list.
  • Click on Results Manager
  • Select Direct Export
  • Click on Save
  • Select either RefWorks or EndNote, ProCite and Reference Manager option
Note that the RefWorks selection currently links to the RefWorks default page rather than the Library's tailored page...the vendor has been asked to change this and to make this process a smoother.

REFWORKS & REFSHARE

RefWorks - Bibliographic management software that allows you to import references from online databases, organize your references into folders according to your topics of interest or for particular assignments or research projects, insert references in a variety of citation style formats (e.g. APA and MLA) into the body of your research paper, and generate formatted reference lists.
